Guide to filling in a project

Summary Data

This is really important as a set of data fields which define the project. It is fairly easy to fill in as it has a number of set fields. Here is a summary of what they need:

  • Section one (items 1 and 2) should already be filled in by the system.
  • Section two (items 3 to 8) are about the group/people you are trying to help.
  • Section three (items 9 to 13) are about the people who are providing the help
  • Note that the link to any photo album you might have to leave and fill in later

When you fill in your name then the system puts a link so people can contact you without giving your email address away (to stop Spam).

Important. Note that once you set the TBG field then it locks the project so that it can only be edited by members of the TGB. Make sure you are a member of that TBG BEFORE to set the field otherwise when you press update you won’t be able to edit it anymore.

Overview

The Overview is key as it helps people see at a glance what you project is about. We would like it to have a similar look and feel on each project to help people who a browsing through. Therefore we are asking everybody to follow the rules:-

  • Keep it short. Say between 5 and 15 lines.
  • It should concentrate on saying what the aims of the project are, i.e. what do you hope to achieve, rather than what you are doing.
  • Don’t use lots of formatting. Just use the ‘normal’ style and if you want to use bold to pick out key points. This makes all the overviews look similar.

Pictures

Pictures really help people understand and connect with a project and we really encourage you to add pictures to your project. The process is a bit fiddly, but it is worth it. Look at the help section entitled 'A picture paints a thousand words' for detailed information.

Progress Announcements

The Progress field on the Detail tab is for putting up announcements as the project progresses. Its aim is to make it easy to keep the project information up to date. Simply add a short piece of text to describe what has happened. When filling in information on an existing project you might like to add the major achievements so far, with the date when they happened.

HelpWanted

You can add a request for help on a project. This works in exactly the same way as adding a new project. Once you have added a HelpWanted it appears in the main list of all help Wanted (see the 'Asking for Help' section on the Help page).

If HelpWanted items are fulfilled or no longer needed anymore then please mark them as such. At the moment you need to delete them, but we may improve that to add a status of ‘done’ or ‘not required anymore’.

Other fields

Of the other fields the details section at the top right of the second tab is useful for holding a longer version of what the project is aiming to do. All the other fields are optional, but we suggest you clear them out if you aren’t going to fill them in.

Other Notes and Tips

  • Any TBN member can update the project, so think about sharing the load. However we do ask that person listed as the project manager to take responsibility to check that everything is correct and up to date.
  • Try to use the business project as the main way of communicating to people involved in the project. That way you have an incentive to keep it updated.
  • There are a number of moderators who we have asked to look at projects and suggest areas that could do with updating. They are there to try and make the Portal a useful place for people to visit. Please respond positively if they contact you about your portal content and ask you to change things.
